Privacy policy
Last updated October 4, 2026
MailQL ("we") is operated by Productabot LLC, a Florida limited liability company. This policy covers mailql.com and the MailQL service. Questions go to privacy@mailql.com.
What we collect
- Your account: your email address, when you signed in, and your plan.
- Email you forward: the raw message, what's read from it (your rows), and details about it such as sender, subject, and the spam and authentication checks it passed or failed. These emails often contain other people's information, like your customers' names and phone numbers. For that information, you decide what's collected and we process it on your behalf.
- Questions you ask about your rows, and the queries written to answer them.
- Billing: Stripe handles payment. We keep your Stripe customer and subscription IDs and your plan, never your card number.
- Connections you set up: webhook URLs and their secrets, and, if you connect Google Sheets, the Google account's email address and a sign-in token.
- Technical logs: our servers log requests and errors, which can include your IP address. These logs are kept for 90 days.
We use one cookie to keep you signed in, plus a short-lived one while you connect Google. We don't use analytics, advertising or tracking cookies.
How we use it
- To run the service: receive your email, read it into your tables, answer your questions, and send your rows where you've asked.
- To email you sign-in codes, and notices about your account, such as nearing your plan's limit or a webhook that keeps failing.
- To keep the service secure and working, and to fix problems.
We don't sell your information or use your email content for advertising. If we ever send product news, every message will have a one-click unsubscribe.
Who we share it with
Only the services that run MailQL, and only what each one needs:
- Amazon Web Services (US): hosting, storage, and receiving and sending email.
- Anthropic: reads your emails' text and attachments to fill in your columns, and your column names to answer questions. Under Anthropic's commercial terms it doesn't train on this by default, and it deletes it within 30 days except where needed to enforce its Usage Policy or comply with the law.
- Stripe: payments.
- Google: only if you connect Google Sheets, and then only the rows you send to sheets MailQL creates for you.
- Webhook URLs you add receive your rows, because you asked for that.
We'll also share information if the law requires it, and we'll tell you first unless we're not allowed to.
How long we keep it
- Raw emails: 30 days, then they're deleted automatically. Spam that's set aside is never stored beyond its sender and subject.
- Rows, saved views and questions: until you delete them or your mailbox.
- Mail to our own contact addresses: 90 days.
- Server logs: 90 days.
- Your account: until you ask us to close it. We then delete it and everything in it within 30 days, except billing records we must keep by law.
Your choices
- Download any mailbox's rows as CSV at any time, fix any value, and delete any mailbox.
- To get a copy of everything we hold about you, correct it, or close your account, email privacy@mailql.com. We'll do it within 30 days, wherever you live.
Children
MailQL is a business tool and isn't meant for anyone under 16.
Changes
If we change this policy, we'll update this page and the date at the top. For changes that matter, we'll also email account holders before they take effect.
